Executive Assistant

Who you are

As theExecutive Assistant, you will provide project coordination and administrative support including, analytical and planning support to the office, specifically supporting the President of National Office Services.

The position requires extensive cross-group coordination at all levels, along with superb written and oral communication skills, analytical skills, planning skills with the ability to function effectively with minimal direction. You are a problem solver and can extrapolate and drive projects to successful, timely completion.

What you bring

  • A minimum of five years experience in a Senior Administration position.
  • Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint).
  • A College Degree

Bonus skills and experience

  • Previous experience working within a real estate environment.
  • CRM experience
  • Experience utilizing resources (people, materials, support, etc.) to get things done; you can orchestrate multiple activities at once to accomplish a goal; uses resources effectively and efficiently arranges information and files it in a useful manner.

What success looks like

  • You successfully plan, monitor, and coordinate the President's consistently changing daily schedule and Outlook calendar.
  • You check deadlines on incoming requests and put preliminary work in play.
  • You expertly draft and edit documents including correspondence, PowerPoint presentations, pitches, agendas, invitations and various documents for the Executive.
  • You develop a clear understanding of key client relationships of the executive and develop a working relationship with administrative peers within those organizations.
  • You coordinate and oversee all company events planning in cooperation with the Event Planning Committee.
  • You coordinate meetings, organize and schedule large and complex activities such as cross-functional events, business travel, conferences and department activities.
  • You develop meeting agendas, take and distributes minutes. Tracks action items.
  • You provide seamless extensive travel coordination including: Flights, Hotels, Car Services, Meals, Conference Calls, and agendas for executive meetings, conferences, roadshows, board meetings, leadership meetings, office tours, presentation pitches, client visits, etc.


Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
